Up and running in three steps
Create a project
From the Portfolio Dashboard, click + New project. Give it a name and it's ready. You can run multiple projects and switch between them at any time.
Paste your meeting notes
Go to Meeting Input and paste in your notes - raw text is fine. The AI pulls out decisions, actions, risks, budget items, milestones, assumptions, and dependencies automatically.
Review, tick, commit
A review panel shows everything the AI found. Tick what you want to keep, untick anything off-mark, and if something has been filed in the wrong place use its Add as dropdown to send it elsewhere - decision to change, change to risk, whatever it should have been. Then hit Add selected to reports and the data flows into the relevant sections immediately.

Open / In Progress / Closed. Click the status to cycle it, ✓ to resolve. Search and filter by owner or status. Grouped and sorted by likelihood.
Log decisions with owner and date. Attach actions directly to decisions. Overdue items surface automatically.
Formal change requests: Pending, Approved, or Rejected. Tracks cost impact, schedule impact, and drawing references.
Open issues with owner, deadline, and a blocking flag for anything stopping the project cold.
What is waiting on what - and who owns the blocker. Statuses: On Track, At Risk, Blocked. Populated from Meeting Input when notes mention "blocked by", "waiting for", or "can't start until".
The post-mortem log: what to carry into the next project and what not to repeat. Closing a risk or issue offers to record it here, carrying the title, impact and your resolution note across.
- ▶Both summary pages fold. The Portfolio Dashboard is grouped into Health, Needs attention, People, Trends, Projects and Settings; the RAG Summary into snapshot, decisions and detail. Click any band heading to collapse it. A closed heading keeps its counts, so folding never hides something that needs you.
- ▶What turns a lamp amber. Schedule allows a 3 day slip before amber and 14 before red, so GREEN above “1 slipped” is the tolerance, not a bug. Budget goes amber 2% over and red 10% over. One open High-likelihood risk turns Risk red, matching the red pill exactly.
- ▶Nothing is deleted for good. Every delete leaves an Undo in the corner for ten seconds, and the item goes back exactly where it was. Registers, budget lines, milestones and calendar events.
- ▶Escalate in one click. A broken assumption, an overdue action, or an open issue each carry a ⚠ that turns them into a risk. Nothing is moved or deleted, and it is a button rather than an automatic sync so the judgement stays yours.
- ▶Calendar weeks are on the calendar. ISO week numbers run down the left of the month grid, and events you added yourself can be edited or rescheduled straight from the day pop-up.
- ▶The dashboard filters and remembers. Filter the Portfolio Dashboard by health, or pick an owner to turn the whole page into that person’s view. Line charts show open risks and issues month by month, rebuilt from your own data. Workload by owner flags anyone holding blocking issues in more than one project, with a bar showing who is busiest relative to everyone else on screen. Actions needing attention lists what is overdue, blocked or due this week across every project, and you can cycle a status, resolve a risk or approve a change without leaving the page.
- ▶Attach links to anything. Every item in every register has a 🔗 button. Point it at the SharePoint folder, Teams message, vendor report or ticket. Nothing is uploaded, only the address is kept, and it comes through in the Excel export as a Links column.
- ▶Dark or light, your choice. The deck ships dark. The ☼ LIGHT button under the guide links in the sidebar switches to a light palette, or the right-hand end of the top bar on a phone. The setting is shared with the rest of Operational Mind and remembered on that device. Exports are unaffected either way.
- ▶Quality works itself out. On the Project RAG Summary, Quality defaults to Auto: the worst of Schedule, Budget and Risk. Pick a colour to override it, or Auto to hand it back. A manual Green will not hide a Red budget, because Overall is still the worst of all four.
- ▶Set your currency once. The Currency card on the Portfolio Dashboard changes how every amount is shown, including exports. It is display only, nothing is converted, and with cloud sync on it follows your login across devices.
- ▶Click statuses to cycle them. On risks, assumptions, actions, dependencies - one click advances the status. No edit mode needed.
- ▶Meeting Input is the fast lane. One paste can update decisions, risks, budget, milestones, and more simultaneously.
- ▶The AI's filing is a suggestion, not a verdict. Every row in the review panel has an Add as dropdown. Move a decision to the Change Log, a change to the Risk Register, or anything to any of the nine destinations before you commit. Reset reclassifications undoes the lot.
- ▶Undo last import. If an extraction brings in something wrong, the Undo button removes everything from that batch - nothing else.
- ▶Broken assumptions can be escalated to the Risk Register in one click - the ⚠ button on any At Risk or Broken assumption.
- ▶Standalone actions in the Decision Log can be linked to a specific decision using the Move button.
- ▶The Portfolio Dashboard aggregates across all your projects - a single screen for the big picture.
- ▶Export in one click. The Project RAG Summary exports a PowerPoint status deck (RAG, risks, milestones, Gantt) or an Excel workbook where every register is a formatted, filterable Excel Table. The Portfolio Dashboard exports a leadership portfolio pack.
- ▶Client-ready meeting report. After extracting notes on Meeting Input, the Weekly Meeting Report button builds a branded Word document (attendees, summary, actions, conclusion) you can send straight to a client. It is a separate AI pass, so it uses one extraction; always give it a read first.
- ▶Back up your work, or sync it. Your data lives in this browser by default. On the Portfolio Dashboard: Download backup saves everything as a file, Restore loads it elsewhere, and Enable cloud sync (optional) makes your projects follow your login across devices.
